Kinective Launches Intelligent Document Workflow Solution for Banks and Credit Unions

AI-Powered Document Preparation Targets Manual eSignature Work

Kinective, a technology company providing intelligent banking solutions to more than 4,300 banks and credit unions, has launched an AI-powered document setup capability for Kinective Sign and SignPlus. The new functionality is designed specifically for financial institutions and aims to reduce the manual work traditionally associated with preparing documents for electronic signatures.

The new Automated Document Set-Up capability uses artificial intelligence to analyze documents, identify their structure and content, and automatically prepare them for signing. Instead of requiring employees or administrators to manually place signature fields, names, dates, checkboxes and other required fields before each signing session, the system can perform much of this preparation automatically.

Kinective said the technology is part of its broader intelligent Document Workflow strategy, which is designed to address repetitive operational tasks across banking environments. The company positions Kinective Sign and SignPlus as eSignature solutions built specifically for financial institutions, rather than general-purpose electronic signature products adapted for banking use.

The launch comes as banks and credit unions continue to digitize account-opening, lending, servicing and other workflows while looking for ways to reduce administrative work. Document preparation is one of the operational steps that can create friction when financial institutions manage large numbers of forms and transactions.

Automating a Traditionally Manual Process

Preparing a document for an electronic signing session can involve several repetitive steps. In conventional workflows, a staff member may need to open a document, determine where information must be entered, place the appropriate fields, assign those fields to the correct parties and verify that everything is positioned correctly.

The same process may need to be repeated across multiple transactions or maintained whenever an underlying form changes.

Kinective’s Automated Document Set-Up is intended to automate these steps. The AI technology reads a document and identifies elements relevant to the signing process. It can then place signature fields, party roles, checkboxes and index values without requiring employees to manually tag every document.

According to Kinective, forms that have historically taken staff as long as 15 minutes to prepare can now be prepared automatically in seconds.

The company also says that the technology can identify changes when an existing document is updated. Rather than requiring staff to rebuild or manually review an entire template after every modification, the system can detect differences and propose corresponding updates.

Kinective estimates that this capability can reduce document creation and annual maintenance time by more than 50%.

Reducing Errors in Document Workflows

Beyond saving time, automated document preparation is designed to address errors that can occur during manual field placement.

When employees manually configure signing documents, fields can occasionally be misplaced, omitted or assigned incorrectly. Such issues can require staff to correct the document before a transaction can be completed, potentially creating additional work for employees and delays for customers or members.

By automatically analyzing the document structure and placing relevant fields, Kinective’s technology is intended to reduce these types of mistakes.

For banks and credit unions processing high volumes of forms, even relatively small improvements in document accuracy can have operational significance. A standardized automated process can help institutions create more consistent workflows across branches, departments and digital channels.

Alongside Automated Document Set-Up, Kinective has redesigned its Template Manager to provide a more streamlined administrative experience.

Template Manager is the interface where financial institution staff create and maintain master document templates used for electronic signatures.

The redesigned experience brings several stages of template creation into a single interface. These include uploading documents, defining parties and fields, and completing final reviews.

By guiding users through the process, the updated interface is intended to make template creation and maintenance more straightforward for banking employees.

Master templates are particularly important in financial institution workflows because they can be used repeatedly across transactions. A properly configured template can reduce repetitive work each time a customer or member needs to sign a form.

The combination of a redesigned administrative interface and AI-powered document preparation is intended to make that initial setup process more efficient while also supporting ongoing template maintenance.
